Terms and conditions 

 

Ily Wedding Coordination offers wedding and event services as an independent entity, although Venues can act as our agents we are not connected to or part of any venue or general estate.

 

1. Your coordination fee is set out and pre-agreed- this amount is provided as an initial  quotation (these prices are subject to change year after year however are locked in once the quotation has been accepted)

2. Payment is due 3-4 months prior to your event depending on our accounting arrangements. 

3. Full payment is due and inclusive of all listed invoice services- Once an invoice has been issued you have 30 days to pay in full 

4. If additional services are added after the invoice date these will be invoiced separately 

5. Package upgrades can only be accepted with more than 6 months left before the wedding date.

6. If your event has to be postponed for any reason then your coordination fee will only carry over if your date is within 12 months of the original date. 

7. If the new date is more than 12 months from the original contracted date then the hours of planning will not be charged however the new fee and full service will be payable according to the new wedding date.

8. Prices are subject to change due to year-on-year inflation. All quoted prices will be honoured.

9. Cancellation: we accept that in some cases you will have no choice but to cancel your event. In this case, we perform a scaled cancellation policy 

10. Each couple must ensure that the correct documentation is provided prior to the event date, If insurance documents are not produced then the couple fully accept all and any public liability for the 24 hours they hold the venue contract 

11. ILY weddings are marginally Administrative and will not hold its own public liability for your event- it's a contractual obligation set out by the venues for you to hold your insurance and take responsibility for guests and suppliers on the day.

12. ILY weddings will ensure the smooth running of your wedding day, for whatever reason Emily is not available an appropriate and fully educated professional will be put in place at no extra cost to the client  

13. A full venue risk assessment is carried out for each day of stay- We would however expect couples to ensure their own risk assessment dependent on their suppliers (e.g fireworks, Entertainment) 

14. Ily weddings will be on site for the contracted number of hours agreed- if any additional hours are requested the above terms will still apply 

15. Ily Weddings will not take any responsibility for suppliers or guests as a contractual term of your hire this is the responsibility of the contract holders 

16. Cancellation terms -2 years to 12 months before the wedding day no charge 

12 months -6 months – planning hours only to be charged 

Less than 6 months full coordination fee to be charged.

 18. In the event that we are unable to carry out your required services we will arrange for a replacement to be set in place 

 19.ILY Weddings is not responsible for any damage or implications caused by yourself or your guest to the venue or suppliers' property.
